Prepare the quote input

Understand the weight basis

Actual weight comes from a scale. Dimensional or volumetric weight is calculated from package size under a carrier's rules. An estimate may use provisional packing. Record which basis produced the chargeable weight and ask the responsible provider for its current formula.

Route names are not enough

“Air,” “express,” “rail” or “sea” describes only part of the route. Ask who carries the shipment, whether service is door-to-door or terminal-based, what tracking is provided, and which handoffs or local charges are excluded.

Compare like with like

  1. Freeze the orderUse the same quantity and packing configuration.
  2. Freeze the destinationUse the same delivery point and service level.
  3. Normalize the scopeList included and excluded services beside the amount.
  4. Keep the dateFreight estimates can expire; do not combine quotes from different periods without noting it.

Know when the estimate needs to be refreshed

Request a new quote when carton dimensions, gross weight, product restrictions, destination, service level or dispatch timing changes. A route disruption or expired validity date can also make the earlier number unsuitable. Keep the old quote as a dated comparison rather than editing it into a new figure.

Do not convert an estimate into a promise

A shipping quote does not guarantee customs treatment, dispatch date, transit time, tracking events or delivery. The responsible carrier, forwarder, marketplace, seller or agent must confirm current terms. This guide does not provide customs, tax, legal or logistics advice.

When the quote should be rejected from the comparison

  • No packed quantity or dimensions are attached to the number.
  • The destination differs from the other quotes.
  • Product restrictions or battery status are ignored.
  • Included and excluded services cannot be stated.
  • The route or responsible provider is unidentified.
  • The estimate mixes product price and freight without a breakdown.
  • A past quote is presented as current without a new check.
